the process of monitoring Internal and External Environment of the Organization
in order to predict or to identify any signs of crisis or any issue that can
led to crisis. In another word is the process of developing strategies on how
to deal with crisis when it will happen.
Crisis
is the situation that expected or un-expected and it appears to be terrible or
dangerous/tragic or life threatening. It can be caused by Human error which can
be caused by natural causes. Crises do not choose they can happen to any
Organization or Industry.
The
following are the important tips which a Corporate Communication Officer must
follow in order to control and monitor the whole situation of the crisis
period.
·
Always
define the real problem; a Corporate Communication Officer
should suppose to give out the exactly information about what is the real
problem and what was the cause of the problem. You can even go further and
provide out the steps on which solution or measures have you taken before in
trying to solve the problem.
·
Control
the information flow; you need to make sure the each and any
kind of information is given out to the intended person and avoid giving out
confidential information to the media unless otherwise you have a permission to
do so. This can be well done if you leave the control of information to the
intended authority.
·
Prepare
for worst scenario; this means the Organization or company
should be in a position to accept whatever comes on the way in dealing with the
crisis. Also the issue of preparing for worst scenario it also implies
arranging all the necessity resources that will be used if in case any
unexpected scenario happens. Both human resources and physical ones.
·
Depend
only on the information of all members from Press Management team;
this are the only people who can give out true and proved information about the
cause and the effects gained from the occurrence of the crisis.
·
Demonstrate
that the organization is full of control of the crisis;
this can be shown to the public through showing positive concern with the
people injured, the press invited and show humanity to any injured person. Also
the organization can decide to interact with the media and give out beneficial
information which is public interest.
·
Understand
the importance of the media; this implies recognize the
presence of the media who has decided to capture the controlling and monitoring
of the crisis. Show them some positive concern to them, talk to them freely,
give out necessary information and ensure the security of the media you might
encounter.
·
Reduce and not amplifying the problem; this
include the disseminator of the information concerning the crisis, crisis
management team, the media involved and the Organization at large should try to
minimize and reduce the problem and not amplifying it. Cooperation and much
concern to the problem can be of an advantage together with following and observing
the rulers and regulations provided to avoid conflicts of interest that might
occur.
·
Recognize
the values of short term sacrifice; this means a Corporate
Communication Officer should understand that sometime a crisis might distract
the presence budget hence for any issue that might need great attention
especially capital attention, the Organization should become aware of it for
the aim of maintaining the good image of the Company or Organization.
